SERVICE FEES
Please ensure you are certain of the fees below applicable to your booking before proceeding to plan and book your travel arrangements.
Travel Planning Fee
Our travel planning fee is £25 – £250 we calculate the travel planning fee based on how much time we think it will take us to create something extraordinary for you.
The travel planning fee for a short haul package holiday with flight, accommodation and transfer is £25, a multi-destination, island hopping more complex itinerary starts from £50 and large groups and or retreats £250. This honours the time involved in consulting, researching, planning, and designing your trip, as each itinerary is designed especially for you there is a huge amount of time and work involved upfront. The more complex the itinerary the more time is involved, and we save you all that precious time.
It also provides you with access to an expert and their in-depth knowledge, expertise, and independent advice.
We collect the travel planning fee upfront at the time of planning and it is non-refundable.
If you book your trip with us, we will discount the travel planning fee from your total booking cost. If you do not book with us, then our costs are covered.
We do not charge hidden fees; this rate includes all tax and processing fees.
Consultation Fee
We find that many of our clients want to book their own travel arrangements, especially if they have points to use. If you have done this or prefer to do this and just require a 30-minute consultation to discuss this, we are happy to do that and charge a £50 non-refundable consultation fee to cover the Travel Concierges time and cost involved.
A consultation provides you with access to an independent expert, their in-depth knowledge, experience, expertise, advice, support, and information.

Title Or Name Administration Change Fee
If you wish to make a title or name change on your arrangements after they have been confirmed you must inform us as soon as possible at info@globaltravelfinders.co.uk Your notice requesting a change will only take effect when it is received in writing by us at our offices and will be effective from the date on which we receive it.
We can’t guarantee that changes can be met, although we will do our best to assist.
In the event we can meet your requested change, you will be required to pay £50 per person per change as well as any applicable rate changes or extra costs incurred by ourselves, and any costs or charges incurred or imposed by any of our suppliers. Note: Certain arrangements may not be amended after they have been confirmed and any alteration or cancellation could incur a charge of up to 100% of that part of the arrangements in addition to the charges above.
Where we are unable to assist with making a requested change and you do not wish to proceed with the original booking, we will treat this as a cancellation by you.
Date Amendment Fee
If you wish to amend the date on your arrangements after they have been confirmed you must inform us as soon as possible at info@globaltravelfinders.co.uk Your notice requesting a change will only take effect when it is received in writing by us at our offices and will be effective from the date on which we receive it.
We can’t guarantee that changes can be met, although we will do our best to assist.

Accommodation Or Transport Amendment Fee

We can’t guarantee that changes can be met, although we will do our best to assist.

In Flight Extra Requests
If you would like to add any in flight extra requests after the booking is confirmed e.g. to pre book meals or seats and or add hold baggage you must inform us as soon as possible at info@globaltravelfinders.co.uk Your notice requesting in flight extras will only take effect when it is received in writing by us at our offices and will be effective from the date on which we receive it.
We can’t guarantee that in flight extras can be met after booking, although we will do our best to assist.
To add any in flight extra requests after the booking is confirmed e.g. to pre book meals or seats and or add hold baggage will incur a £30 administration fee per each additional request and any costs or charges incurred or imposed by any of our suppliers/principals.
Refund Processing Fee
If you wish to cancel all or some of your travel arrangements and request a refund you must inform us as soon as possible at info@globaltravelfinders.co.uk Your notice requesting a cancellation and refund will only take effect when it is received in writing by us at our offices and will be effective from the date on which we receive it.
We can’t guarantee that refunds can be met, although we will do our best to assist.
If we can process a refund, you will be required to pay £50 per person processing fee as well as any applicable rate changes or extra costs incurred by ourselves, and any costs or charges incurred or imposed by any of our suppliers. Note: Certain arrangements may not be amended after they have been confirmed and any alteration or cancellation could incur a charge of up to 100% of that part of the arrangements in addition to the charges above.
Where we are unable to assist with making a requested change and you do not wish to proceed with the original booking, we will treat this as a cancellation by you.
Emergency Helpline Charge
If you require emergency support or assistance out of office opening hours, then please contact the Travel Suppliers 24/7 Customer Emergency Helpline first as they may be better placed to assist you.
If you are unable to contact the relevant travel supplier, then please contact our Customer Emergency Helpline at (+44) 07423144947. (Please Note – We will charge a reasonable fee of £200 for requesting emergency support or assistance during out-of-office opening hours if the emergency support or assistance requested is caused by you intentionally, or because of your act or omission. We will also charge a fee of £200 for requesting emergency support if the request is not an emergency and is instead something that could have been resolved during normal office opening hours.
VIP Membership Fee
Our VIP Members pay a fee to gain access to a range of luxury travel services and benefits such as personalised travel planning, 24/7 support, emergency assistance, access to special events or VIP Experiences, exclusive deals, and discounts on travel expenses.
VIP Membership fees usually work on a monthly or annual basis and the cost varies depending upon the level of service and benefits provided. Each membership package is tailored to meet your needs and based upon how many requests you will make
per month or per year, the type of assistance and level of aid requested etc.
Membership fees for corporate clients can vary depending on the size of the company or number employees and how many requests each employee is allowed.
If you wanted to use the concierge services only once or twice a year for small trips a one-off travel planning fee may be established.

Cancellation Fee
If you wish to make any changes to your arrangements after they have been confirmed, including if you wish to cancel all or some of them, you must inform us as soon as possible. Your notice requesting a change or cancellation will only take effect when it is received in writing by us at our offices and will be effective from the date on which we receive it.
We can’t guarantee that changes can be met, although we will do our best to assist.
Since we incur costs in cancelling or changing your arrangements, all such changes and cancellations will be subject to the charges below.
Where we are unable to assist with making a requested change and you do not wish to proceed with the original booking, we will treat this as a cancellation by you.
You may cancel any package arrangements prior to their commencement (following the process outlined above) if
- circumstances amounting to unavoidable and extraordinary circumstances (as set out in clause 9) are occurring at the place where your arrangements are due to be performed or its immediate vicinity.
- those circumstances make it impossible to travel safely to the travel destination, and;
- the performance of your arrangements will be significantly affected by those unavoidable and extraordinary circumstances. We will refer to and take into consideration Foreign and Commonwealth Office guidance when determining whether your booking is affected. In this event, you will receive a refund without undue delay of any payments made but this will be the maximum extent of our liability and we regret we cannot meet any other expenses or losses you may incur as a result.
If any member of your party is prevented from travelling, that person(s) may transfer their place to someone else (introduced by you and satisfying all the conditions applicable to the arrangements, including an agreement to these booking conditions) providing we are notified in writing not less than seven days before departure and you pay an amendment fee and meet all costs and charges incurred by us and/or incurred or imposed by us or any of our suppliers. Both you and the person to whom you would like to transfer your arrangements shall be jointly and severally liable for the payment of any balance due and for any additional fees, charges or other costs arising from the transfer. If you are unable to find a replacement, cancellation charges as set out below will apply to cover our estimated costs. Otherwise, no refunds will be given for passengers not travelling or for unused services.
For flight or flight inclusive bookings, most airlines do not permit name changes after tickets have been issued for any reason, you will have to pay the full cost of an alternative flight (if available) if you wish to transfer after tickets have been issued. For other travel services, many suppliers will not allow name changes and you may have to pay the full cost of the service in the event of a name change. Please note that where an outbound portion of your flight coupon is not used, the return sector will be automatically cancelled by the airline and the entire ticket will be classed as void. No automatic right to any refund exists for such part-used tickets.
We will deduct the cancellation charge(s) from any monies you have already paid to us.
If the reason for your cancellation is covered under the terms of your insurance policy, you may be able to reclaim the charges below.
To cover our expected losses from the cancellation of the booking there is a set scale of charges which must be paid by you if you or anyone travelling with you cancels.
Note: These cancellation charges apply to all bookings, except in circumstances where a booking includes items or services where our supplier’s own cancellation charges exceed those shown below. In these circumstances any additional cancellation charges will be advised at the time of booking.
